NSW Health - Data Publisher Requirements


Item and Price

  • NSW Health can only accept List and Contract price via NPC. Transaction pricing contains freight and handling charges which are processed separately within our State Procurement System.

  • Pricing must be published to the Whole of State Price Global Location Number (GLN) 9329537000002 as a rule. Where specific pricing is applied to certain Local Health Districts or specific Hospitals, the prices should be published to the specific SHIP_TO GLN/ Locations i.e NSW Health, Hunter New England, John Hunter Hospital etc.

  • Publishing your entire catalogue to NSW Health (even items not currently purchased by NSW Health) will ensure optimum product exposure to our Local Health Districts and Health Services.

  • Contract Price items to be published with the correct contract identifier attached and the contracts end date published in the effective end date field, if the contract is extended this field must be updated.

  • Where minimum order quantities and minimum order fees apply, they should also be provided.

  • Where bulk pricing or volume breaks apply these should also be provided

  • List Price items must have whole of state pricing attached with a valid effective end date no more than 12-18 months from the current date.

  • Ensure pricing is provided at the correct level of the product hierarchy, the ordered and invoiced level. This should correlate to the level and GTIN of the product as the agreement or tender submission.

  • Changes to contract items must be communicated to the appropriate Category Manager at NSW Health.

  • Data should be accurate, complete, and regularly maintained prior to the effective end dates or contract’s expiry.

  • Items that are no longer available should be end dated.


Product Sponsor (Brand Owner) and Distributors

  • Expectation is on the product sponsor who have nominated a distributor/s to publish data to GS1 Australia’s Healthcare Item Data Lake (HIDL) and NPC Healthcare recipients with their nominated Distributor/s responsible to include the ‘thin’ item record (plus recipient specific prices) to NSW Health.

Standard Descriptors

  • To accommodate the clinical data requirements of LHD’s and Health Services, NSW Health have a standard attribute sequencing rule for cataloguing items (tabled below) which we recommend suppliers adhere to in the NPC long description fields. For more information on this attribute sequencing please contact HSNSW-CatalogueServices@health.nsw.gov.au

  • Continuity in the content you apply in all NPC fields is vital.

Codes

  • Populate Prosthetic Rebate Codes, Pharmaceutical Codes, TGA, UNSPSC against the current standard and ensure they are regularly updated against code standard changes.


Warehouse

  • Dimensions, weights, and pallet detail fields are to be accurate and complete.

  • Ensure no dummy codes (999999 for example) are being published to NSW Health.

  • Please ensure all dangerous goods fields are complete.

  • Populate all product origin, distribution and shelf life fields, this information will support procurement and planning activities and risk management at NSW Health.


Unique Device Identification (UDI)

  • Increased regulations mandating UDI have emerged requiring uses of global standards, NSW Health recommend manufacturers, distributors and solution providers acting on behalf of our trading partners familiarise themselves with UDI as interest from areas such as our warehouse team is gaining momentum.


Images

  • Recommend the publishing of images, with priority focused on contract and items transacted in the last 12 months.

  • There are several options to publish images to NSW Health, including:
    Vendor Data Load Portal HSNSW-CatalogueServices@health.nsw.gov.au
    → GS1 Australia’s SmartMedia smartmedia.support@gs1au.org
    → The National Product Catalogue, via your Solution provider (if engaged) or GS1 Australia


Supplier Collaboration

  • While GS1 only maintain one NPC contact on their files per company, they recommend
    training at least two employees in NPC.

  • NSW Health request any change of NPC contact within your company be communicated to
    NSW health via HSNSW-npc@health.nsw.gov.au to ensure our records are aligned and no
    communication opportunities are missed.

  • NSW Health value our relationship with trading partners so please communicate any
